Overview: We are seeking a highly organized Commercial Real Estate Legal Assistant to provide comprehensive support to attorneys handling real estate transactions. The ideal candidate will be detail-oriented, capable of managing multiple tasks, and experienced in handling legal documents, scheduling, and client relations in a fast-paced environment. Key Responsibilities:
Perform various administrative duties, including drafting engagement letters, processing expense reports, coordinating with couriers, managing phone calls, and organizing travel arrangements.
Draft, review, revise, and proofread legal documents and correspondence related to real estate transactions, ensuring accuracy and compliance.
Create and format documents, edit, and track changes (redlining) using CompareRite or similar tools.
Assist with recording documents in public records and ensure all filings are completed accurately.
Manage attorneys' calendars, schedule meetings, and maintain up-to-date client contact information.
Handle conflict checks, and assist with opening and closing client matters.
Establish and maintain organized electronic and paper files.
Set up and maintain accurate billing requirements for clients, and ensure compliance with billing guidelines.
Input and edit attorneys' time entries, and review/edit pre-bills for final approval.
Qualifications:
Strong understanding of legal documents related to commercial real estate transactions, including conveyances, acquisitions, and real estate development.
Ability to manage a busy workload for multiple attorneys while working effectively in a team environment.
Attention to detail, with the ability to meet tight deadlines and adapt to shifting priorities.
Excellent written and verbal communication skills.
High degree of initiative, with the ability to prioritize and manage multiple tasks independently.
Proficiency in Microsoft Office 2016, particularly advanced Word functions and Outlook.
Experience with electronic document management systems, such as Filesite/iManage, is a plus.
Familiarity with online public record recording systems like Simplifile is beneficial.
Flexibility to work overtime when needed and a positive, can-do attitude.
