Administrative Assistant (Project Coordinator)

LHH Recruitment Solutions is partnering with a construction company in Scottsdale, AZ that is looking for a full-time onsite Project Coordinator to join the team. This role involves coordinating project activities, managing documentation, processing contracts, handling billing and budgets, and liaising with vendors and subcontractors. $24-$28 per hour depending on experience.

Job Duties:


  • Assist in the preparation, review, and submission of project proposals and quotes to clients and stakeholders.
  • Coordinate with vendors and subcontractors to gather pricing and service details for proposals
  • Manage project billing, ensuring accurate and timely submission of invoices to clients.
  • Track and reconcile payments, ensuring all financial obligations are met
  • Manage contract submittals, including coordination and documentation of approvals.
  • Process and track change orders, ensuring they are documented, approved, and incorporated into the overall project scope.
  • Communicate changes to all relevant stakeholders to maintain alignment on project scope and timeline
  • Oversee material purchasing and procurement, ensuring timely and accurate ordering of materials for the project.
  • Coordinate delivery schedules and track inventory of materials to avoid project delays.
  • Obtain and maintain certificates of insurance from subcontractors and vendors as required.
  • Ensure compliance with all insurance requirements and project regulations.
  • Manage lien waivers and pre-lien documentation, ensuring they are processed and filed correctly to protect the company and the project.
  • Track lien waiver statuses and follow up with vendors and subcontractors as needed.
  • Process certified payroll for subcontractors and ensure compliance with local labor laws and union agreements.
  • Maintain accurate payroll records and submit reports as required for governmental and contractual compliance.
  • Monitor and track project expenditures to ensure alignment with the project budget.
  • Assist with job costing, tracking labor, materials, and overhead to ensure accurate and timely reporting.
  • Create and manage purchase orders, ensuring all materials are ordered and delivered on time to avoid delays in construction schedules.
  • Coordinate the timely delivery of materials to the job site and ensure the proper receipt and inspection of materials.
  • Assist the project manager in the development, tracking, and management of project budgets.
  • Regularly monitor project financials to identify cost overruns or potential savings and make recommendations for improvements.
  • Maintain relationships with vendors and subcontractors to ensure smooth coordination of services and materials.
  • Resolve any vendor-related issues or discrepancies quickly and professionally.


Qualifications:


  • Bachelor’s degree in Construction Management, Business Administration is preferred but not required. High School Diploma or Equivalent is required.
  • Minimum of 3+ years of experience in a construction project coordination or similar role.
  • Familiarity with construction project management software (Textura, Procore, Buildertrend, etc.) is a plus.
  • Ability to type 45+ words per minute
