Position: Workplace Office Coordinator

Location: San Francisco, CA (Near Union Square) Onsite, 5 days a week

Overview:


We are seeking a positive and upbeat Workplace Office Coordinator with 2-4 years of experience to join our dynamic high-technology company. The ideal candidate must be tech-savvy, particularly with Adobe and Canva for creating flyers and other promotional materials. This role requires a proactive individual with a knack for thinking two steps ahead and excellent organizational skills.

Key Responsibilities:



  • Office Coordination: Ensure smooth daily operations of the office environment, maintaining a welcoming and efficient workplace.


  • Mail Room Management: Oversee the mail room, including sorting and distributing incoming mail and packages, and coordinating outgoing shipments.


  • Creative Tasks: Use Adobe and Canva to design and create visually appealing flyers, posters, and other promotional materials.


  • Proactive Support: Anticipate office needs and potential issues, proactively addressing them to maintain a seamless work environment.


  • Collaboration: Work closely with the Facilities Manager to support office maintenance and any facilities-related tasks.


  • Event Coordination: Assist in planning and organizing office events and meetings, ensuring all logistics are handled efficiently.


  • Inventory Management: Monitor and manage office supplies, placing orders as needed to ensure stock levels are maintained.


  • Communication: Serve as a point of contact for office-related inquiries, providing excellent customer service to staff and visitors.

Qualifications:



  • Experience: 2-4 years of experience in an office coordination or similar role.


  • Technical Skills: Proficiency in Adobe Creative Suite (especially for flyer creation) and Canva.


  • Attributes: Positive, upbeat attitude with excellent interpersonal skills.


  • Proactivity: Strong ability to think two steps ahead and proactively address needs and issues.


  • Organizational Skills: Exceptional organizational and multitasking abilities.


  • Communication: Strong verbal and written communication skills.


  • Team Player: Ability to work collaboratively with the Facilities Manager and other team members.
