Job Description: Executive Assistant


Location: San Francisco, CA


Position Overview: The Executive Assistant in Financial Banking provides high-level administrative support to senior executives, such as the CEO, CFO, or other high-ranking officials.


Key Responsibilities:



  • Manage and maintain executives schedules, including coordinating meetings, appointments, and travel arrangements.


  • Handle all correspondence, including emails, phone calls, and written communications, ensuring timely responses and prioritizing critical issues.


  • Prepare and edit reports, presentations, and other documents as needed.


  • Organize and prepare materials for meetings, including agendas, presentations, and meeting notes.


  • Attend meetings to take minutes and ensure follow-up on action items.


  • Coordinate complex travel itineraries, including flights, accommodations, and transportation.


  • Prepare travel expense reports and ensure timely reimbursement.


  • Handle sensitive information with the utmost confidentiality and discretion.


  • Ensure that all company policies and procedures are adhered to, especially regarding privacy and data protection.


  • Assist with special projects and initiatives as assigned by executives.


  • Track project progress, manage deadlines, and communicate updates to relevant stakeholders.


  • Oversee the maintenance of office supplies and equipment.


  • Ensure a professional and efficient office environment.


  • Serve as a point of contact between executives and internal/external stakeholders.


Qualifications:



  • Education: Bachelors degree in Business Administration, Finance, or a related field preferred.


  • Experience: At least 5 years of experience as an executive assistant, preferably in the financial banking sector.


  • Excellent organizational and time management skills.


  • Strong written and verbal communication skills.


  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
