Job Description: Executive Assistant to the CEO



Location: South San Francisco, CA

Job Summary: We are seeking a highly experienced and motivated Executive Assistant to support the CEO of our dynamic life sciences company in South San Francisco. The ideal candidate will be exceptionally organized, proactive, and capable of managing a broad range of executive and administrative support tasks. This role requires a high level of professionalism, discretion, and the ability to operate in a fast-paced environment.



Key Responsibilities:




  • Provide high-level administrative support to the CEO, including managing complex calendars, scheduling meetings, and preparing correspondence.


  • Act as the primary point of contact between the CEO and internal/external stakeholders, handling communications and ensuring timely responses.


  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.


  • Plan and manage detailed domestic and international travel itineraries, ensuring seamless travel experiences.


  • Prepare, edit, and review documents, presentations, and reports for the CEO, ensuring accuracy and professionalism.


  • Assist in managing special projects and initiatives as directed by the CEO, ensuring timely and successful completion.


  • Handle sensitive information with the highest level of discretion and maintain confidentiality at all times.


  • Plan and manage executive events, meetings, and offsite gatherings.


  • Assist with budget preparation, expense reporting, and financial documentation.


  • Oversee the efficient operation of the CEO???s office, including managing office supplies and equipment.



Qualifications:




  • Minimum of 5-7 years of executive support experience, preferably within the life sciences or biotechnology industry.



  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.


  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Experience with project management tools is a plus.


  • Exceptional verbal and written communication skills.



  • Strong organizational and time management skills with the ability to prioritize tasks effectively.



  • High level of attention to detail and accuracy in all tasks.



  • Excellent problem-solving skills and the ability to handle multiple tasks simultaneously.



  • Professional appearance and demeanor, with a positive attitude and a team-oriented mindset.


  • Proven ability to handle confidential information with discretion.


  • Strong interpersonal skills with the ability to build relationships and work effectively with various stakeholders.
