Bilingual Senior Administrative Assistant (Cantonese)


Location: San Francisco, CA


Reports To: Office Manager/Executive Team



Job Summary: The ideal candidate will provide top-tier administrative support, ensure the smooth operation of our office, and facilitate effective communication between Cantonese and English-speaking stakeholders.



Responsibilities:



  • Manage office operations, including answering main office calls, organizing office supplies, sorting mail, and maintaining office organization.


  • Coordinate with various office vendors and oversee services such as cleaning, internet, IT support, and security.


  • Assist with employee onboarding, maintain company SOPs, manage the Zen Desk ticketing system, and communicate with tenants.


  • Support executives by reviewing and delegating emails, booking travel, reconciling credit cards, and ensuring the implementation of standard operating procedures.


  • Provide comprehensive administrative support to executives and management, including calendar management, scheduling meetings, and preparing documents.


  • Serve as the primary liaison between Cantonese and English-speaking staff, clients, and partners. Translate documents and communications as needed.


  • Oversee daily office operations, including managing office supplies, equipment, and coordinating with vendors.


  • Prepare, edit, and review documents, reports, and presentations in both English and Cantonese, ensuring accuracy and professionalism.


  • Organize and coordinate meetings and events, including preparing agendas, taking minutes, and following up on action items.


  • Plan and coordinate domestic and international travel arrangements, including booking flights, hotels, and transportation.


  • Support special projects and initiatives as assigned by management, ensuring timely and successful completion.


  • Provide excellent customer service to clients and visitors, addressing inquiries and resolving issues promptly.


  • Handle sensitive information with discretion and maintain confidentiality at all times.



Qualifications:




  • Experience: Minimum of 5 years of administrative experience, preferably in a senior or executive assistant role.


  • Language Skills: Fluent in Cantonese and English, with excellent written and verbal communication skills in both languages.


  • Education: Bachelors degree in Business Administration, Management, or a related field is preferred.


  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.


  • Organizational Skills: Strong organizational and time management skills with the ability to prioritize tasks effectively.


  • Attention to Detail: High level of attention to detail and accuracy in all tasks.


  • Problem-Solving: Excellent problem-solving skills and the ability to handle multiple tasks simultaneously.


  • Professionalism: Professional appearance and demeanor, with a positive attitude and a team-oriented mindset.


  • Interpersonal Skills: Strong interpersonal skills with the ability to build relationships and work effectively with various stakeholders.


  • Discretion: Proven ability to handle confidential information with discretion.
