Location: Sacramento, CA Employment Type: Direct Hire Compensation: $25-30 per hour
Job Posting: Service Dispatcher
Responsibilities:
Respond promptly to phone and email service requests, providing customers with response dates and times.
Gather necessary information, including contact details, building access, jobsite address, and service needs.
Create and schedule work orders, assigning technicians.
Send new customer information sheets and submit completed forms to the Service Coordinator.
For warranty calls, confirm with the project manager and open pass-through work orders if approved.
Assist with preventive maintenance scheduling.
Check in with technicians regularly to ensure task completion.
Manage the Dispatch Board, tracking technician locations and tasks.
Plan and manage a three-day schedule for technicians.
Review and process technician Field Quotes, emailing them to customers.
Submit quotes over $5,000 to the Service Coordinator.
Process open work orders daily for accurate costs and invoicing.
Create purchase orders in Viewpoint for equipment and materials and notify technicians of arrivals.
Review technician timecards weekly and submit them for payroll processing.
Process service expense reports and submit for approval.
Resolve invoice or purchase order issues as assigned.
Maintain professional communication within and outside the company.
Follow up with customers to ensure satisfaction.
Provide backup support to other dispatchers.
Assist with special projects assigned by the service coordinator or manager.
Report unresolved customer complaints.
Maintain a daily to-do list and a clean workspace.
Rotate the On-Call Phone weekly.
Knowledge, Skills, & Abilities:
Proficiency with:
Microsoft Office (Excel, Word, Outlook, Project)
Bluebeam and Adobe Acrobat
Vista Viewpoint
File-sharing programs
Strong verbal and written communication skills.
Ability to present information and respond to questions from managers, clients, and customers.
Collaborate on operational improvements.
Education & Experience:
High School diploma or GED required.
2-3 years of experience in service dispatch or related roles.
Experience with Viewpoint Service Management software is a plus.
