Construction Administrator

LHH Recruiting is assisting our client in Phoenix, AZ to hire a Construction Administrator on a contract to hire basis. They are seeking a highly organized and detail-oriented Construction Administrator to support our production and office team. The ideal candidate will be proficient in construction terminology and processes, and will play a critical role in managing materials, liaising with vendors, and ensuring smooth communication between the field and office. Key Responsibilities:
  • Material Management: Oversee the purchasing, tracking, and management of construction materials to ensure timely delivery and optimal inventory levels.
  • Vendor Liaison: Maintain heavy interactions with vendors, acting as a liaison between vendors, field staff, and office personnel to facilitate seamless communication and resolve any issues.
  • Team Support: Provide various forms of support to the production and office teams, including administrative tasks and project assistance.
  • Website Research: Conduct research projects on various websites to gather necessary information and data relevant to ongoing and upcoming construction projects.
  • Data Entry: Collaborate with staff to input and manage data related to new construction projects, ensuring accuracy and completeness.
  • Collections: Assist in the collection of outstanding payments from clients and vendors, ensuring timely and effective resolution of any issues.
  • Software Proficiency: Utilize Microsoft Excel, Word, and Adobe software to create, edit, and manage documents and spreadsheets.
Qualifications:
  • Proven recent experience in construction administration or a similar role, ideally 2 years or more.
  • Proficiency in construction terminology and processes.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills. Bilingual Spanish is a plus but not required.
  • Ability to work independently and as part of a team.
  • High level of proficiency in Microsoft Excel, Word, and Adobe software.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information.
  • Knowledge of material management and purchasing processes is preferred.
  • Experience in collections and handling outstanding payments is a plus.
