LHH Recruitment Solutions is partnered with a growing Construction Company in Phoenix, AZ that is looking to add a Construction Administrative Assistant (Project Coordinator) to the team! This is a full-time Monday through Friday in-office position. Must have a minimum of 2 years Construction Project Coordinator or Construction Admin Assistant experience to qualify. Pay range $20-$24/hr depending on experience. Bilingual in Spanish is highly preferred.


Responsibilities



  • Report to the Lead Project Coordinator and Director of Construction.


  • Support the Construction Team to ensure timely completion of all project activities and adherence to deadlines.


  • Enter project information and documentation into project management software applications (Yardi, Elevate).


  • Maintain accurate project documentation control by creating and organizing filing systems according to company procedures.


  • Request and track all necessary Construction Project Documentation, including executed contracts, change orders, purchase orders, and close-out documents.


  • Maintain an up-to-date status tracking log for all Project Submittals and RFIs.


  • Assist with drafting, issuing, and tracking contracts and change orders as required.


  • Verify and track all vendor paperwork, including insurance and business licenses.


  • Review vendor and contractor invoices for accuracy and completeness.


  • Communicate relevant project information effectively to the appropriate team members.


  • Coordinate meetings, prepare agendas, generate and distribute meeting minutes.


  • Prepare reports for the Construction team.


Qualifications



  • Minimum of 2 years of experience in the construction industry.


  • Strong organizational skills with the ability to prioritize and handle multiple tasks.


  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.


  • Excellent communication skills for interacting with all levels of the organization and external parties, such as vendors.


  • Ability to work independently with minimal supervision.


  • Capable of thriving in a fast-paced environment.


  • Strong work ethic.


  • Team player mentality.


  • Bilingual in Spanish is highly preferred
