Administrative Assistant (Construction Service Coordinator)

- Schedule Service Calls
- Dispatch Technicians
- Manage Work Orders
- Track Progress
- Notice to Owners and Certificates of Insurances
- Communicate with Clients
- Coordinate Materials Deliveries
- Maintain accurate records of service calls, materials used, and any additional notes.
- Complete Warranty Paperwork and file all service invoices.
- Invoice Work Orders
- Make Collection calls on outstanding unpaid invoices
- Review all daily time sheets and accuracy.
- Develop and maintain a culture of transparency, collaboration, feedback, and excellence.
- Assist team with various tasks as needed.
Qualifications
- Minimum of 2 years of experience in the construction industry.
- Strong organizational skills with the ability to prioritize and handle multiple tasks.
- Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
- Excellent communication skills for interacting with all levels of the organization and external parties, such as vendors.
- Ability to work independently with minimal supervision.
- Capable of thriving in a fast-paced environment.
- Strong work ethic.
- Team player mentality.
- Bilingual in Spanish is highly preferred
