Key Responsibilities:
Office Management: Maintain office supplies inventory, ensure the office is clean and organized, and manage office equipment maintenance.
Communication: Handle incoming calls, emails, and other correspondence professionally and promptly.
Scheduling: Manage and coordinate appointments, meetings, and conference calls, including scheduling and confirming meeting logistics.
Document Preparation: Prepare, edit, and format documents, reports, and presentations as needed.
Data Entry: Accurately input and update data in company databases and maintain organized records.
Support Services: Provide administrative support to various departments, including HR, finance, and operations.
Event Coordination: Assist in planning and executing company events, meetings, and employee activities.
Client Interaction: Greet and assist visitors, clients, and vendors, ensuring a positive and professional experience.
Mail Handling: Sort and distribute incoming mail and manage outgoing mail, including packages and courier services.
Project Assistance: Support special projects and other duties as assigned by management.
Qualifications:
Experience: Minimum of 2 years of experience in an administrative role, preferably in a corporate setting.
Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with various office equipment.
Communication Skills: Excellent written and verbal communication skills.
Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively.
Interpersonal Skills: Positive attitude, strong interpersonal skills, and the ability to work well with others.
Detail-Oriented: Meticulous attention to detail and accuracy in all tasks.
Adaptability: Ability to adapt to changing priorities and work effectively under pressure.
