Job Opportunity: Legal Secretary
A Michigan-based, full-service law firm with over 175 attorneys and six offices, has a full-time opening for an experienced Legal Secretary in our Naples, Florida office, supporting multiple practice teams. We are seeking a candidate who is organized, detail-oriented, and committed to client service. This individual should be comfortable working independently as well as part of a team.
Selection Process:
First Round: If the initial round goes well, candidates will be required to complete assessments on proofreading and Microsoft Office skills.
Final Round: The final round will be an in-person meeting with attorneys and the HR Director.
Candidate Preferences:
Experience: Candidates should have experience supporting multiple attorneys, not just one or two.
Skills: Highly organized and detail-oriented individuals are preferred.
Education: Candidates should not be currently attending law school as this is a true Legal Assistant role and will not be converted to a Paralegal position. However, candidates with Paralegal experience are welcome to apply.

Roles & Responsibilities:
Participate in a client-focused team, displaying professionalism, excellent communication skills, and exercising personal judgment under the direction of assigned timekeepers.
Prepare correspondence, memos, pleadings, briefs, forms, and other documents in proper legal form; file legal documents with appropriate attachments, both electronically and via traditional filing methods.
Transcribe documents from dictation; proofread and edit all documents to ensure accuracy and professional appearance.
Answer telephone calls courteously and professionally; forward messages to intended parties and answer non-legal questions. Place phone calls as needed or requested.
Receive, read, and route incoming postal mail.
Arrange for the proper delivery of documents/projects via courier runs, hand-deliveries, Federal Express, UPS, Express Mail, etc.; provide complete information to courier for delivery.
Maintain calendars and deadline reminder systems (docket) for all case-related dates, including appointments, deadlines, and follow-up dates. Review calendar reports generated from the docket control system. Maintain appointment and deadline calendar for attorneys.
Enter and proofread time in the billing system; ensure accurate entry of complete information before each monthly deadline as needed.
Open new files, perform conflict of interest checks through the conflicts control system, and maintain all electronic and physical client and general files in a neat and orderly condition. Close inactive files in a timely manner and in accordance with the Record Retention & Destruction Policy and Guideline.
Schedule depositions, hearings, appointments, and conference calls; prepare necessary documents and copies for meetings.
Request checks for filing fees, etc., and attorneys' business expense reimbursements.
Assist with legal assistant work overflow or absence coverage as time permits or needs dictate and as requested by other attorneys, paralegals, or Human Resources representatives.
Attend staff meetings, training sessions, and other required employee meetings.
Perform general office duties such as copying, typing, scanning, and faxing as needed.
Maintain confidentiality in all firm and client matters.
Assist with other firm work as directed by attorneys or paralegals.
This role is 100% onsite.
Qualifications & Requirements:
Education:
Completion of high school.
Experience:
Two to three years of on-the-job experience to understand law office policies and procedures and produce accurate legal documents with minimal supervision.
2+ years' experience as a legal assistant or experience in a law firm.
Bachelor's degree in legal studies or related field preferred.
Required Skills/Abilities:
Proficient in MS Office Suite and legal document management software with the ability to transcribe legal documents, correspondence, and reports from rough draft, dictation, or transcription at a level of at least 30 wpm.
Excellent grammar, proofreading, transcription, and organization skills.
Strong communication skills, both verbal and written.
Exceptional organizational and multitasking abilities to meet deadlines and manage competing priorities.
Ability to work independently and complete tasks with minimal supervision.
Professional demeanor and ability to work well in a team-oriented environment.
Ability to communicate and follow instructions effectively from a diverse group of attorneys and staff.
Committed to providing responsive client service.
Occasional hours outside of normally scheduled hours.
Preferred Skills:
Knowledge of iManage or other document management systems.
