LHH is seeking an Operations Manager that manages the daily operations of the office. Other responsibilities include collecting and recording assessments quarterly, serving as a liaison to outsourced accounting and IT, maintenance of the master contact list, meeting planning, and contract management. This opportunity operates on a hybrid schedule in McLean, VA. Responsibilities:
Oversee daily office operations, including key distribution, parking, and building services, acting as the primary point of contact for inquiries.
Assist with travel arrangements, expense reports, and maintaining office and kitchen inventory.
Perform preventative maintenance on office equipment and coordinate repairs.
Collaborate with senior leadership and HR to update procedures and policies.
Manage partner and member database, and support the President with scheduling and travel coordination.
Assist with mailings, maintain updated contact lists, and support the Industry Outreach team with tracking collateral and premiums.
Manage industry clip reader schedule and assist HR with employee onboarding/offboarding and recognition.
Serve as liaison between staff, Bill.com, and outsourced accounting team, processing office payments, approving expenses, and reconciling monthly credit card transactions.
Assist with budget planning and the annual audit.
Send quarterly assessments, record payments, follow up on late payments, and investigate discrepancies.
Monitor changes in the funding base and coordinate with USDA on uncollectible accounts.
Act as point of contact for IT provider, managing contracts and troubleshooting IT issues.
Oversee office A/V, internet access, and manage software renewals and office equipment, including laptops and repairs.
Execute password changes and monitor phishing test results.
Support planning for events like the annual Industry Communicators and CAPs Summit, coordinate board and committee meetings, and manage logistics.
Ensure proper contract documentation and compliance, and support CBM with insurance renewals and USDA-required forms.
Requirements:
Bachelor’s degree required.
5-10 years of experience supporting C-level executives.
Proficiency in Microsoft Office Suite and Adobe Acrobat.
Skills:
Strong organizational and interpersonal skills, with attention to detail and the ability to manage multiple tasks.
Resourceful, customer-focused, and capable of handling confidential information.
Forward-thinking with a proactive approach to problem-solving.
