Position Overview: The Payroll Administrator will report to the Director of Shared Services and will be responsible for maintaining accurate payroll records and processing payrolls efficiently. This role involves managing biweekly and monthly payrolls, handling off-cycle payrolls, ensuring compliance with payroll regulations, and delivering exceptional customer service.
Key Responsibilities:
Payroll Processing: Accurately process biweekly and monthly payrolls using ADP Workforce Management (WFM) and ADP Workforce Now (WFN).
Off-Cycle Payrolls: Manage off-cycle payrolls, including adjustments, terminations, and special payments.
Compliance: Ensure compliance with federal, state, and local payroll regulations as well as company policies.
Reconciliation & Validation: Reconcile payroll data prior to transmission and validate confirmed reports provided by ADP.
Record Maintenance: Maintain accurate payroll records and prepare detailed reports related to payroll activities.
Administration & Auditing: Assist in the administration of the payroll process, including auditing payroll entries, deductions, and adjustments.
Data Accuracy: Review and ensure the accuracy of timesheets, leave balances, and other payroll-related data.
Payroll Matters: Handle payroll-related matters such as direct deposits, wage garnishments, and tax-related issues.
Employee Support: Research and respond to employee inquiries regarding payroll, deductions, tax withholdings, and related concerns.
Customer Service: Provide exceptional customer service, resolving payroll issues in a timely and professional manner.
Education & Onboarding: Educate employees on payroll processes and policies; assist with onboarding related to payroll systems.
Regulatory Updates: Stay up to date with changes in payroll laws and regulations to ensure company compliance.
System Troubleshooting: Troubleshoot and resolve payroll system issues, liaising with ADP support as needed.
Basic Qualifications:
High School Diploma or equivalent.
3 - 5 years of payroll processing experience.
Proficiency in ADP is required; experience with ADP Workforce Management (WFM) and ADP Workforce Now (WFN) preferred.
Strong knowledge of payroll laws and regulations.
Excellent attention to detail and accuracy in payroll processing.
Ability to handle confidential information with integrity and professionalism.
Strong problem-solving skills and the ability to work independently.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite, particularly Excel.
Preferred Qualifications:
Associate degree or bachelor’s degree from an accredited university.
Experience with hourly and expatriate timesheets, with similar pay schedules considered a plus.
Ability to work under tight deadlines and manage multiple tasks simultaneously.
Willingness to assist with special projects and initiatives as needed.
