Sales Administrator (Folsom, CA)

LHH is teaming up with an insurance company in Folsom, CA in search of a direct hire Sales Administrator! The Sales Administrator provides essential support to the sales department, handling a variety of administrative tasks to ensure smooth operations and successful outcomes. This role will work fully on-site.


The Sales Administrator's main responsibilities include providing comprehensive administrative support to the sales team, managing and organizing sales-related projects and meetings, and maintaining accurate sales databases and documentation.


The ideal candidate has at least 2 years’ experience as a TPA Sales Admin, is highly organized, detail-oriented, and proficient in using software tools such as Word, Excel, and Salesforce. They should possess excellent communication skills, be able to work independently, and adapt to the changing demands of the role and the company.


Essential Duties and Responsibilities:



  • Learn about the services and solutions offered by the company, including those from carriers, vendors, and partners.


  • Assist the sales team in preparing correspondence and reports for underwriting files.


  • Analyzing and summarizing data.


  • Creating spreadsheets, charts, and graphics.


  • Entering, retrieving, and manipulating data within software programs or databases.


  • Manage activities related to assigned projects; assist in establishing project timelines, action steps, and status updates; follow up to ensure timely execution and meet established deadlines.


  • Organize meetings using online conference platforms such as Zoom and Microsoft Teams.


  • Achieve department and organization goals by taking ownership of new and different requests and exploring opportunities to add value to job accomplishments.


  • Attend online and in-person client/broker meetings and networking events as needed.


  • Provide clerical and organizational support to the sales team, including maintaining databases, running reports, analyzing inbound requests, and preparing presentation materials.



Sales/Quoting/Underwriting:



  • Manage the sales inbox.


  • Support the sales team from initial inquiry to the implementation process.


  • Assist with Request for Proposal (RFP) questionnaires for prospective clients.


  • Build trust by providing accurate and relevant information through timely and concise communication.


  • Evaluate and respond to inbound sales inquiries, RFP responses, and routine sales follow-up.


  • Identify and request additional underwriting information needed for quotes.



Contracts & Document Creation:



  • Assist in drafting Service Agreements for prospective clients for review and approval by the sales team.


  • Help create Business Associate Agreements (BAA) and Non-Disclosure Agreements (NDA) for prospective vendors, brokers, and clients for review and approval by the sales team.



Sales Database / Data Entry:



  • Maintain the sales database and pipeline using Salesforce.


  • Add appropriate contracts/documents to Salesforce.


  • Upload client and broker contacts for marketing and lead generation purposes.



Experience, Skills, & Abilities:



  • 2 years' experience as a TPA Sales Admin strongly preferred


  • Proficiency in Word, Excel, Outlook (email, calendars, scheduling, and tasks), Adobe Professional, and PowerPoint. Salesforce and/or CRM system experience is strongly preferred.


  • Excellent customer service skills, both written and verbal


  • Ability to maintain confidentiality.


  • Capability to work independently with minimal supervision.


  • Adaptability to grow with the changing demands of the position and company.


  • Ability to handle multiple tasks assigned by the Sales and Marketing team, assess the importance of various projects, and execute based on established deadlines.



Job Type: Direct Hire, Fully on-site


Pay Rate: $19.00 - $20.00/hour, depending on experience


Hours: full-time, regular business hours
