Logistics Invoicing Specialist The Logistics Invoicing Specialist is responsible for managing the invoicing process for logistics operations, ensuring accuracy, compliance, and timely billing. This role involves coordinating with internal departments and external vendors to resolve invoicing discrepancies, maintaining detailed records, and contributing to the efficiency of the logistics financial operations. The ideal candidate will have strong analytical skills, attention to detail, and experience in logistics or financial management. This is a Contract position near Downers Grove, IL. Responsibilities:
  • Prepare, review, and process invoices for logistics services accurately and in a timely manner.
  • Ensure all invoices are compliant with company policies and contractual agreements.
  • Monitor billing cycles and ensure invoices are sent out and payments are received on schedule.
  • Reconcile invoices with purchase orders, delivery receipts, and other supporting documents.
  • Identify and resolve any discrepancies or issues with invoices through communication with vendors and internal departments.
  • Maintain a log of disputes and resolutions to track patterns and improve processes.
  • Maintain detailed and organized records of all invoices, payments, and related documentation.
  • Ensure documentation is easily accessible for audits and reporting purposes.
  • Update and manage invoicing systems and databases to ensure data accuracy.
  • Collaborate with the logistics, procurement, and finance teams to gather necessary information for invoicing.
  • Act as a liaison between the company and logistics vendors to address invoicing concerns.
  • Provide regular updates and reports to management on invoicing status and any outstanding issues.
  • Ensure all invoicing practices comply with legal and regulatory requirements.
  • Prepare and present regular reports on invoicing activities, including metrics on accuracy, timeliness, and dispute resolutions.
  • Assist in the development and implementation of invoicing policies and procedures.
  • Identify opportunities to streamline the invoicing process and improve efficiency.
  • Participate in projects aimed at enhancing the overall logistics and financial operations.
  • Stay updated on industry best practices and incorporate them into the invoicing process.
  • Provide support and training to new team members on invoicing procedures and systems.
  • Assist other departments with invoicing-related queries and issues.
Qualifications:
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 2-3 years of experience in invoicing, logistics, or a related financial role.
  • Proficiency in accounting and logistics software (e.g., SAP, Oracle, QuickBooks).
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and organizational abilities.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of logistics operations and financial principles.
