Administrative Assistant (Construction)

LHH Recruitment Solutions is partnering with a Construction company in Chandler, AZ that is looking for a Administrative Assistant or Project Coordinator to join the team. This is a full-time, in-office, Monday through Friday, 6am to 2pm position. Pay range $21 to $24 per hour, depending on experience. Must have Construction or similar industry experience to qualify.

The Admin Assistant will provide assistance and support to the Project Manager overseeing tasks such as tracking daily paperwork, timecards, field reports, and various forms utilizing Microsoft Excel and other Microsoft programs.


Responsibilities:


  • Process timesheets by receiving daily reports from the field, inputting data into timesheets, and forwarding them to the payroll department.
  • Create new personnel timesheets and add new personnel to daily field reports.
  • Request live checks from payroll.
  • Process and submit expense reimbursements by receiving expense receipts, completing expense forms, validating them, entering data into tracking spreadsheets, and submitting them to the PM for signature.
  • Collect and submit market recovery documentation by receiving timesheets from site safety and forwarding them for review.
  • Provide project management and multi-departmental clerical support, including document printing, scanning, copying, label printing, wire label printing, and packet printing.
  • Send equipment delivery reports by receiving equipment packages from the field, completing/filing/sending receiving reports.
  • Send field daily reports
  • Place office supply orders

Qualifications:


  • High School Diploma or equivalent is required.
  • Ability to thrive in a fast-paced environment.
  • Proficiency in MS Office Suite, with preference given to familiarity with Bluebeam is preferred
  • Construction or similar industry experience required.
