LHH is seeking an Executive Assistant for a client in Carmel, IN. This would be a direct hire role supporting the VP of Finance. We are looking for a qualified EA with experience supporting either a VP of Finance or CFO.


Responsibilities



  • Providing administrative support to the VP of Finance


  • Manage the VP's calendar, schedule appointments, and coordinate meetings.


  • Prepare and edit correspondence, communications, presentations, and other documents.


  • Handle incoming and outgoing communications, including phone calls, emails, and mail.


  • Maintain and organize filing systems, both electronic and paper-based.


  • Plan and organize meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.


  • Coordinate logistics for internal and external meetings, including travel arrangements and accommodations.


  • Assist with the preparation and coordination of projects and initiatives led by the VP of Finance.


  • Monitor project timelines and deliverables, ensuring deadlines are met.


  • Assist with budget preparation and expense tracking.


  • Prepare and process expense reports and invoices.


  • Conduct basic financial analysis and generate reports as needed.


  • Conduct research and gather data to support the VP's decision-making processes.


  • Prepare briefing materials and presentations for meetings and events.


  • Liaise with internal and external stakeholders on behalf of the VP.


Qualifications



  • Bachelor’s degree preferred


  • 5+ years of EA experience


  • Experience supporting a VP of Finance or CFO


  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines


  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and other relevant software.


  • Discretion and confidentiality in handling sensitive information


  • Proficient written and verbal communication skills
