For our client, an international industrial company located in Winterthur, we are seeking an Assistant to Management (m/w/d) 100%. In this role, the successful candidate will handle a range of administrative tasks to support the head of the business unit. The primary objective of this position is to facilitate the efficient management of the daily agenda. Key responsibilities may involve organizing meetings, arranging travel, preparing materials for presentations, taking meeting minutes, following up on outstanding responses, and maintaining records of contacts.
Main Tasks and Responsibilities:
- Manage the meeting schedule, including organizing individual meetings and handling agendas, minutes, and follow-up items.
- Maintain the calendar, manage expenses, and perform additional administrative tasks for the business unit head.
- Arrange travel plans and provide support in case of changes.
- Assist with presentations, reports, and internal communication while ensuring presentation standards are met.
- Support the management team as needed (e.g., management meetings and visits).
- Oversee global travel management, including contract administration and reporting.
- Act as a point of contact for other departments and external stakeholders.
- Collaborate with the global executive assistants' team to ensure successful execution of group calendars and events.
- Plan and manage smaller projects and events.
- Handle confidential information professionally.
Qualifications:
- Completed commercial apprenticeship or a bachelor's degree in business administration or a related field.
- Minimum of 5 years of direct executive support experience in a multinational company as an Administrative Assistant or similar role.
- Experience in other commercial functions is a plus.
- Proficient in communication and office technologies, particularly MS PowerPoint and MS Teams.
- Ability to navigate in an international corporate environment.
- Experienced in calendar management and travel scheduling.
- Ability to write meeting minutes and corresponding to-do lists.
- Initiative to identify process improvements and implement them.
- Strong interpersonal skills with the ability to communicate across all levels within the organization.
- Excellent verbal and written language skills in English and German.
